Getting Started - Adding a New Job

Now that you are finished with the initial setup, you are ready to begin entering your first job.

  1. Click Jobs>Add a New Job.
  2. This will bring you to the "Add a New Job" Window with the cursor flashing in the "Requester" field.

    Helpful Tip: Notice that the F2 key is listed to the right of "Add a New Job" on the Jobs menu. This is known as a "shortcut key", a single keystroke that performs a function within a program. For example, instead of clicking Jobs>Add a New Job, simply hit the F2 key to begin entering a new job. (You can see a complete list of shortcut keys here)

  3. Enter the name of the Requester. (note: The Requester is the person who is requesting that this service be performed. This gives us a point of contact just in case there is a problem fulfilling the requested service. In addition, the Requester appears on our client invoices so that they know who in their company is ringing up these charges!)
  4. Use the <Tab> key to advance to the next field.
  5. The "Select Client" window appears when you <TAB> to the Client field. Type the first few characters of the Client's company name. Normally, CST will allow you to pick a previously entered Client. Since this is your first job and you have empty databases, you are going to want to add a new Client record. Click the "Add New" button.
  6. Completely fill out the new Client record (click here to see an example).
  7. Click "Accept".
  8. The Clients info will appear in the Client field.
  9. <Tab> to the "Stops" Grid.

    Note: In CST, a Destination is a drop off or pickup address for a job. You can have as many Destinations that you need in the "Stops" Grid. Again since you are starting with empty databases you will have to add the new records.

  10. The "Select the 'From' Destination" window will display. Type the first few characters for this destination & click the "Add New" button.
  11. Completely fill out the "Pickup From" destination record and click "Accept".
  12. The "Select the 'To' Destination" window will automatically display. Type the first few characters for this destination & click the "Add New" button.
  13. Completely fill out the "Deliver To" destination record and click "Accept".
  14. <Tab> will take you to the "Add" button. You can use this to add more than one Destination to the "Stops" grid.
  15. <Tab> a second time will take you to the "Round Trip" button. You can use this to show the job as a "Round Trip" job. (note: a job is considered "Round Trip" when the first & the last destinations are the same)
  16. <Tab> a third time will take you to the "Reference Box" field. Enter the Reference Number if the Client has provided one.

    Note: Text written in the "Reference Box" appears on your client invoices as a cross reference to their company's own internal tracking system. (This is usually used for billing their own clients.) If the word "REQUIRED" is displayed in the reference box it means that this client requires references on all jobs.

  17. <Tab> to the "Special Instructions" field. Enter the special instructions.

    Note: The "Special Instructions" field is used to record important notes and/or details concerning the job. The special instructions will appear on the Dispatch Screen so that the dispatcher can inform the driver of what is expected by the Client.

  18. <Tab> to the "Priority" field. Click the drop down list box and select the priority for this job.
  19. You have now finished entering all the data necessary for logging in a new job. Click "accept" to add the new job to your database and generate a unique Job Number for this job.

    Note: All Job Numbers in CST are ten digits long with the first four digits being the current year. For example, the first job in the year 2005 will be assigned the job number 2005000001.

  20. The new number will be displayed in a small window with an OK button. It's a good idea to give the job number to your Clients so that you can pull up the job quickly if they call back with a question concerning the job. Click "OK"
