Getting Started - Dispatch Screen & Closing Your Job

The true power of CST really lies within the Dispatch Screen. From the Dispatch Screen you can monitor the status of open jobs, edit existing jobs and even add new ones.

Now that the first job has been entered into the system CST will display it on the Dispatch Screen. After the job has initially been entered into the system it must be Dispatched to a Driver.

  1. Click Jobs>Dispatch Screen to bring up the "Dispatch Screen" window. The Dispatch Screen displays a list of all the jobs in our CST database that have not been finished.
  2. There should only be one job listed on the Dispatch screen and it will be highlighted. Click the "Edit Job" button. This will bring up the same "Edit Job" window that we were previously in.

    Notice: When you bring the "Edit Job" window up, the cursor or focus is automatically set to the item that needs attention or is most likely next to be updated.

  3. Since the job has not yet been dispatched the phrase "(Not Assigned)" will appear in the "Dispatched-Driver/Date/Time" field. Click the drop down list box and click on the Drivers name that was entered at beginning of the tutorial.
  4. Once the Driver has been selected the current date and time will automatically be pasted in for you. Click "Accept" to return to the Dispatch Screen.

    Notice: The "Status" of the job changed from "Ready" to "DIR". The "DIR" stands for "Driver In Route". This tells your dispatcher that the driver has been dispatched & is on their way to pick up the package.

    Here are a list of Status Codes & what they mean:
    "Ready" = "Ready" - Package is released & ready to be picked up by your driver.
    "DIR" = "Driver In Route" - Driver has been dispatched & is on his way to pick up the package.
    "DHP" = "Driver Has Package" - Driver has picked up the package.
    "COD" = "Cash On Delivery" - Job has "C.O.D." checkbox checked & will remain on the dispatch screen until a C.O.D. is collected.
    "Paged" = "Paged" - The "Dispatch Page" button was clicked & a Page was sent to the driver. Clicking "Job Acknowledged" will clear this status.
    "SIG" = "Contact Person Sig. Required" - Job has been delivered, but the client requires a signature of the person the package was delivered to. You must type a name in the last Destination's "Contact Person" field in the "Stops" grid.
    "$$$" = "Job has a total charged of $0.00" - This is a way to insure that a job isn't closed with a zero total without your approval. If the "Total Charged" is zero, you must either put a charge under "Show Pricing" or check the "Finish with Zero Total" checkbox.

  5. Click the "Edit Job" button. This will bring up the same Edit Job window that we were previously in. Click the first Destination in the "Stops" grid.
  6. Click "Arrived Now" & the current date & time will display in the "Date Arrived" & "Time Arrived" fields for that Destination, or you can manually type the Date/Time Arrived. (Date Format: M/D/YYYY Time Format: HH:MM am/pm)

    Optional - You can click "Accept" to see that the "Status" for the job has changed, or you can move to the next step.

  7. Click the last Destination in the "Stops" grid & click "Arrived Now". This is required in order to complete the job.

    Note: If the word "REQUIRED" is displayed in the last Destination's "Contact Person" field, this client requires a signature of the person the package was delivered to. You must type a name in that field.

  8. Click "Accept" out of the job.
  9. The job should no longer appear on the Dispatch Screen. (if the "Status" of the job is "$$$" click here)
